1. Who we are

This Privacy Policy applies to Vivid Ads Pty Ltd (ABN 49 210 655 341) of 90 Australis Drive, Derrimut VIC 3026, Australia ("Vivid Ads", "we", "us", "our") and our related entities. We print and supply signage and display products across Australia through our website, vividads.com.au, our customer portal, and our sales team.

We are committed to protecting your personal information and complying with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). This policy explains what we collect, why, how we use and protect it, and the choices you have.

2. What we collect

Depending on how you deal with us, we may collect:

  • Identity and contact details — your name, company name and ABN, delivery and billing addresses, email address and phone numbers.
  • Order information — the products and services you buy or enquire about, quotes, order history, invoices, and any artwork or files you upload for printing.
  • Payment information — payments are processed by secure third-party payment providers (such as Shopify Payments, PayPal, Afterpay and Zip). We do not store your full card number on our systems.
  • Credit information — if you apply for a credit account: your repayment and default history and the amount and type of credit provided, collected in accordance with the Privacy Act.
  • Technical information — when you browse our site: your IP address, browser type, device, the pages you visit and how you reached us. See "Cookies" below.
  • Job applications — information you provide when applying to work with us, including referee details.

We collect this information directly from you — through our website and portal, by email, over the phone, or in person — and through our service providers such as our ecommerce platform. If you do not provide the information we ask for, we may not be able to process your quote, order or request.

3. How we use your information

  • To prepare quotes and process, print, and deliver your orders.
  • To manage your account, including the customer portal, invoicing and payments.
  • To communicate with you about orders, proofs, artwork and deliveries.
  • To assess credit applications and manage credit accounts, including credit checks and credit reporting.
  • To improve our website, products and service, using aggregated analytics.
  • To send you direct marketing about our products, offers and promotions — you can opt out at any time (see section 7).
  • To comply with our legal obligations.

We will ask for your consent before using your personal information for any purpose not covered by this policy.

4. Who we share it with

We do not sell your personal information. We share it only as needed to run our business:

  • Service providers — our ecommerce platform (Shopify), payment providers, couriers and freight companies, IT and hosting providers, and our marketing and analytics providers.
  • Credit and financial parties — credit reporting bodies, other credit providers, and risk insurers, where you have applied for credit; and debt-collection agencies and legal advisers where an account is in default.
  • Employment-related parties — referees, where you have applied for a job with us.
  • Government and law enforcement — where we are required or authorised by law to do so.

Overseas disclosure: some of our service providers (including our ecommerce platform and email providers) store data on servers located outside Australia, including in the United States. Where this happens we take reasonable steps to ensure your information is handled consistently with the APPs.

5. Cookies and website analytics

Our website uses cookies and similar technologies (such as pixels) to keep your cart working, remember your preferences, measure how the site is used, and show relevant advertising on other sites. Third-party advertising partners may set cookies for this purpose. Cookies do not identify you personally unless you have given us personal information.

You can block or delete cookies in your browser settings. The site will still work, though some features (such as the cart and sign-in) rely on them.

6. How we protect your information

All traffic to our website and customer portal is encrypted (HTTPS/TLS). Payment details are handled by PCI-DSS-compliant payment providers. Access to personal information within Vivid Ads is limited to staff who need it to do their job. We retain personal information only for as long as it is needed for the purposes above or as required by law (for example, tax and accounting records), after which it is deleted or de-identified.

7. Direct marketing and opting out

From time to time we may send you marketing about products and offers we think will interest you. Every marketing email includes an unsubscribe link, or you can opt out at any time by emailing sales@vividads.com.au or calling 1300 721 614. Opting out of marketing does not affect order and service communications.

8. Access, correction and updating your details

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Signed-in customers can update their details in the customer portal under My account → Details, or contact us using the details below. We will respond to access and correction requests within a reasonable time and will not charge you for making a request.

9. Data breaches

We take part in the Notifiable Data Breaches scheme. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by law.

10. Questions and complaints

If you have a question or believe we have mishandled your personal information, contact us first and we will investigate and respond, normally within 30 days:
